Your organization would receive dozens of security questionnaires and RFPs from prospects, customers, and partners in every format imaginable. These questionnaires help stakeholders evaluate your products and services, conduct security reviews, verify compliance, and assess your security posture. Answering them accurately and on time is crucial in helping you win deals and earn customer trust.

Instead of spending countless hours manually answering dozens of questionnaires and hundreds of similar questions, you can leverage Scrut’s AI to do the heavy-lifting for you. Scrut Teammates reads your organizational knowledge and creates accurate, contextual responses so your team can focus on reviewing and approving, not searching and typing.

In this article, we explain how to use the AI-Powered Questionnaire Autofill feature to streamline your workflow and reduce the time and effort you spend answering questionnaires.

How does AI-Powered Questionnaire Autofill Work?

Scrut Teammates uses two types of answer sources to generate responses:

  • Answer Library: a curated set of exact, verbatim answers for high-frequency questions such as company boilerplate, standard certifications, and anything you want answered the same way every time.

  • Autofill Sources: Scrut Teammates uses multiple autofill sources within your Scrut organization to generate high-quality, contextually adapted answers. This includes different sources, such as published policies in the Policies module, documents added to the Trust Vault, and files added to the Vault module. When Scrut Teammates draws from autofill sources, it rephrases the content to fit the phrasing and context of each question.

How Scrut Teammates Prioritizes Sources

When generating a response, Scrut Teammates checks your Answer Library first. If a matching question-answer pair exists there, it uses the answer exactly as written, without any AI rephrasing. This is helpful for answers that must stay word-for-word, such as legal language, certification statements, and any responses where your organization requires the exact phrasing.

If no Answer Library match is found, Teammates draws from your other autofill sources, such as the Vault, Trust Vault, and policy documents, and adapts the content to fit the question.

Pro Tip!

Keep your Answer Library small and intentional. It works best with 15 or fewer high-frequency, exact answers. For everything else, let the other autofill sources do the heavy lifting with AI-rephrased responses.
