1: What happens when I transition from a single entity to multiple entities on the Trust Portal?

  • All previously approved users automatically gain access to all newly enabled entities.

  • Your Trust Portal now displays an entity dropdown with all enabled entities. Content is organized by entity, with content tagged to organization-wide appearing on all entities.

2: What happens when I disable a previously enabled entity?

  • Users with access to the disabled entity lose access to its content. However, they retain access to other enabled entities to which they were granted access.

  • Only the remaining enabled entities display in the dropdown.

3: What happens if I disable all entities?

  • Access for users with entity-specific access is revoked, and they are automatically logged out of the Trust Portal.

  • Users with organization-wide access are retained and can continue accessing the portal.

  • The portal reverts to single-entity mode, displaying all content without an entity dropdown.

4: Share a few best practices for using the multi-entity feature in Trust Portal.

  • Plan Your Entity Structure: Clearly define which business units or product lines will have separate Trust Portal content before enabling Multi-Entity mode.

  • Use Organization-wide Content Strategically: Tag content as Organization-wide if it applies to your entire organization. This content will automatically appear alongside entity-specific information.

  • Preview Before Publishing: Use the View Trust Portal button to preview and verify how each entity's view will appear to visitors, especially after tagging new content.

  • Monitor Entity Changes: When disabling or deleting entities, review the Access tab to identify affected users and ensure uninterrupted access for critical stakeholders.

  • Clear Communication: Inform stakeholders which entities they should expect to see in the portal dropdown and how to navigate between entity-specific views.

5: Why is the content I tagged to an entity not appearing in the Trust Portal?

Here are a few possible causes why this might happen:

  • The entity isn't enabled in Trust Vault settings

  • The entity has been deleted from the main settings

  • The content is tagged incorrectly

Solution: Verify that the entity is enabled in the Trust Vault settings and that the content is correctly tagged to that entity.

6: A user is seeing a 404 error for an entity they should have access to.

Here are a few reasons why this might happen:

  • The entity was disabled in the Trust Vault settings after the user was granted access.

  • The user’s access to that specific entity has been revoked.

Solution: Re-enable the entity in Trust Vault settings or grant the user access to an alternative entity. Either way, the visitor still sees your Trust Portal's branded 404 page rather than a generic error, so they can navigate back to a valid section of your portal while you resolve the access issue.

7: Can I switch from multi-entity back to single-entity mode?

Yes. Go to Trust Vault settings and toggle Multi-Entity to Off. The Trust Portal will display all content together without a dropdown.

8: When adding a user manually, if I select “Organization-wide,” will the user get access to all entities?

Yes. They get access to all entities enabled in the Trust Portal.

9: Does the audit log capture entity-specific action?

Yes. The audit log displays all activities across all entities.
