Integrate UKG Pro

The Scrut-UKG Pro integration fetches employee data from your UKG Pro account and sends it to Scrut. Upon completing the integration, Scrut will display the fetched data in the People → Employees module.

Prerequisites

Before you begin the integration, make sure to have the following permissions for your UKG Pro account:

  • Account Information: Login credentials

  • Access Level: System administrator access to your company’s UKG Pro account

  • Permissions: Scrut requires the following read permissions for the integration:

    • Read: user_profile

    • Read: employment_info

    • Read: manager_info (wherever applicable)

    • Read: leave_data

Pro Tip!

We recommend logging into your UKG Pro account with your admin credentials before beginning the integration to avoid doing so later.

How To Connect UKG Pro With Scrut

Step 1: Fetch the Required Details from UKG Pro

As part of the integration, you’ll need to copy-paste the following parameters from UKG Pro in Scrut.

#1: Customer API Key

To get the API key, log in to your UKG Pro Account and search Service Account Administration in the search bar. Copy the Customer API Key and save it in a safe location. You’ll need to enter it in Scrut in the next step.

#2: Web Service Account Username and Password

Refer to the UKG Pro documentation to learn how to create a Web Service Account. Copy the username and password, and save them in a safe location. You’ll need to enter these details in Scrut in the next step.

#3: Web Service Domain

From your account, search for Web Services. Look at any of the endpoint URLs. For example, if your URL is https://acme.ultipro.com/services/data, then your subdomain is 'acme'.

Step 2: Connect Your UKG Pro Account in Scrut

  1. Log in to Scrut and click Integrations on the left panel.

  2. Click the Integrations Library tab at the top, and in the Categories section, click Human Resources Information Systems.

  3. Locate the UKG Pro card, or use the search bar at the top of the page to find it, and click the Integrate button.

  4. On the UKG Pro integration page, click the Connect button at the top right.

  5. Enter the details you fetched in Step 1: Customer API key, web service account username and password, and web service domain.

  6. Click Submit.

That’s it. Once your UKG Pro account is successfully integrated with Scrut, you will see a connected flag on the page.

Synchronization Details

  • Initial Sync: Upon completing the integration, Scrut will immediately sync employee data from your UKG Pro account.  

  • Recurring Sync: After this, Scrut performs the sync every 24 hours to fetch incremental data.

  • Manual Sync: You can also initiate a manual sync by clicking the Sync Now button on the UKG Pro integrations page.

Data Fetched From UKG Pro

Scrut fetches the following employee details from UKG Pro:

  • Contact Information

    • Employee Name (First and Last Name)

    • Email Address

  • Role Information

    • Employment Start Date

    • Date of Exit (if applicable)

    • Department (if available)

    • Reporting Manager Name and Email (if available)

  • Leave Data

    • Start and End Dates of Employee Leaves

    • Status of Employee Leaves

Viewing UKG Pro Data in Scrut

To view UKG Pro data in Scrut:

  1. Go to People → Employees → All Employees.

  2. Click on any employee to view their details, including name, email, joining date, reporting manager, and more.
